Job Description
The Administrative Worker is responsible for providing administrative support to ensure efficient operation of the office. This role includes handling a variety of tasks such as answering phone calls, managing schedules, organizing files, and assisting with general office duties. The ideal candidate will be organized, detail-oriented, and capable of multitasking in a fast-paced environment.
Responsibilities
1. Office Management:
- Greet and assist visitors in a professional and friendly manner.
- Answer and direct phone calls to appropriate personnel.
- Maintain office supplies inventory and place orders as necessary.
2. Administrative Support:
- Perform clerical duties such as filing, photocopying, and scanning documents.
- Prepare and distribute correspondence, memos, and forms.
- Manage and organize office files, both physical and electronic.
3. Schedule and Calendar Management:
- Assist in scheduling meetings, appointments, and conferences.
- Coordinate and manage calendars for multiple staff members.
- Ensure meeting rooms are prepared and equipped as needed.
4. Data Entry and Record Keeping:
- Enter and update data accurately in databases and spreadsheets.
- Maintain records and create reports as requested by management.
- Ensure all records are kept confidential and secure.
5. Communication:
- Communicate effectively with clients, suppliers, and staff.
- Relay important information and updates to relevant parties promptly.
- Handle incoming and outgoing mail and packages.
6. Event Coordination:
- Assist with planning and organizing company events and meetings.
- Coordinate logistics such as catering, venue setup, and materials preparation.
7. General Office Duties:
- Support various departments with administrative tasks as needed.
- Ensure the office environment is clean, orderly, and well-maintained.
- Perform other duties as assigned to support the overall efficiency of the office.
Requirements
- High school diploma or equivalent; associate degree or higher in business administration or a related field (preferred).
- Proven experience as an administrative worker, administrative assistant, or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
