Job Description

The Administrative Worker is responsible for providing administrative support to ensure efficient operation of the office. This role includes handling a variety of tasks such as answering phone calls, managing schedules, organizing files, and assisting with general office duties. The ideal candidate will be organized, detail-oriented, and capable of multitasking in a fast-paced environment.

Responsibilities

1. Office Management:

  • Greet and assist visitors in a professional and friendly manner.

  • Answer and direct phone calls to appropriate personnel.

  • Maintain office supplies inventory and place orders as necessary.

2. Administrative Support:

  • Perform clerical duties such as filing, photocopying, and scanning documents.

  • Prepare and distribute correspondence, memos, and forms.

  • Manage and organize office files, both physical and electronic.

3. Schedule and Calendar Management:

  • Assist in scheduling meetings, appointments, and conferences.

  • Coordinate and manage calendars for multiple staff members.

  • Ensure meeting rooms are prepared and equipped as needed.

4. Data Entry and Record Keeping:

  • Enter and update data accurately in databases and spreadsheets.

  • Maintain records and create reports as requested by management.

  • Ensure all records are kept confidential and secure.

5. Communication:

  • Communicate effectively with clients, suppliers, and staff.

  • Relay important information and updates to relevant parties promptly.

  • Handle incoming and outgoing mail and packages.

6. Event Coordination:

  • Assist with planning and organizing company events and meetings.

  • Coordinate logistics such as catering, venue setup, and materials preparation.

7. General Office Duties:

  • Support various departments with administrative tasks as needed.

  • Ensure the office environment is clean, orderly, and well-maintained.

  • Perform other duties as assigned to support the overall efficiency of the office.

Requirements

  • High school diploma or equivalent; associate degree or higher in business administration or a related field (preferred).

  • Proven experience as an administrative worker, administrative assistant, or in a similar role.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication skills.

  • Ability to multitask and prioritize tasks effectively.

  • Attention to detail and problem-solving skills.

  • Customer service orientation and professional demeanor.
