Job Description

  • To contact current/new customers to enable business development through telemarketing
  • To provide excellent support service to customers in a courteous, prompt & efficient manner to enable customer retention & new/repeat business
  • To ensure that the documentation for all outgoing ocean freight is completed accurately & delivered to customers in a timely manner. 
  • To coordinate & monitor import shipments of all types from CCA Agents Worldwide for CCA’s customers.
  • To provide excellent service to customers in a courteous, prompt & efficient manner through accurate & competitive quotes to enable business development & customer retention
  • To provide excellent support to Sales Team


Responsibilities

BUSINESS RESULTS

· Ensure pricing is competitive & profitable on all shipments to contribute to meeting Department targets

· Identify possible problem shipments/situations in advance & engage management/agents /staff or any resource necessary to avoid losses & service failures

· Liaise with CCA Agents worldwide in order to obtain best rates and routes, (includes mark up, calculations, conversions and comparisons) for movement of cargo to Trinidad & Tobago to meet customer requirements and deadlines.

· Make regular contact/courtesy calls with assigned customers through telemarketing (at least once per month) to source new/repeat business

· Monitor and coordinate the movement of cargo through contact with the Carrier / Agents and inform the customer 

· Assist in giving timely advice to customers when there is a delay in the arrival (or departure) of cargo up to the point of issue /hand over of documents to relevant department

· Liaise with Sales Team to provide administrative support, information on shipments, new leads and feedback from customers  

· Assist in investigating customer queries and report on them as they relate to rates, tallies, missing cargo, missing documents and such 

· Liaise with customers and brokers to coordinate destination customs clearance on arrival when needed 

· Liaise with Pt. Lisas/Piarco office in relation to export queries if and when needed to address/resolve issues

· Communicate with Sales Team by providing feedback from customers and Agents

· Coordinate cargo pick-up for crating and packing of both general and dangerous goods shipments from origin 

· Assist Project Team with DDU & DDP shipments in the absence of the Project Coordinator.

· Liaise with Insurance/Credit Department to confirm Insurance* on cargo

· Coordinate cargo releases with Fast flow and customers to do weekly LCL consolidation (Miami, Agents) and ensure all documents, invoices, Caricom, IMO, consignee information etc. are received within deadlines


CUSTOMER SERVICE & SALES

· Contact current/new customers as necessary in the event that they have cargo for export (Telemarketing)

· Check/respond to emails promptly within same business day, providing accurate & timely quotes to customers for shipment of cargo as/when the need arises &/or other queries 

· Make bookings when business is attained

· Liaise with customers to arrange for delivery of cargo /documents &/or pick up/ at customers’ facilities if necessary

· Investigate & respond to customer queries as they relate to delays, rates, tallies, missing cargo, missing documents & such

· Provide prompt, courteous & efficient service to ensure customer retention & new/repeat business 


INTERNAL PROCESS

· Enter warehouse receipt/s in Magaya immediately upon arrival of cargo at the warehouse & print labels by destination for Warehouse staff

· Review files & determine feasibility of each destination & decide on the shipping schedule

· Contact shipping lines for rates & book containers when needed

· Request customs documents from CCA Customs as needed

· Contact customers/brokers/customs department for outstanding documents/information where necessary

· Liaise & follow up with haulers for containers when needed

· Responsible for assigning an identification seal on the container 

· Pass manifest to Warehouse team

· Create Master Bill of Lading (MBL) & pro forma VGM (Verification of Gross Mass) for shipping lines to meet deadlines when necessary 

· Enter Bill of Lading (MBL & HBL) into Magaya for documentation purposes (Caribbean & International)

· Send email notifications to Warehouse & Customs to advise loading/shipping dates & if any examination is necessary

· Print draft B/Ls for supervisor to check & make amendments as needed within deadlines

· Liaise with Warehouse staff for accurate count on pieces of cargo

· Insert weighbridge information, piece count, measurements/volume /into final B/L & send VGM & final B/L to shipping line

· Liaise with Insurance/Credit Department for Insurance Premium

· Attach all relevant documents to Magaya accurately

· Provide & complete declaration of dangerous goods for shipping lines as necessary (Once Certified)

· Send copies of documents to destination agents within deadlines

· When Master B/L is received from shipping Lines, send documents to customer, arrange finalize documents for Accounts for liquidation & billing purposes

· Send invoices electronically to customers & file documents

· Pass shipping documents to Customs Department 

· Provide support to Collections & follow-up for payment if & when needed


TEAM

· Work as a cross functional department in an effort to provide quality customer service

· Ensure proper use of work station, security of data & shut down of computers at end of the day

· Perform such other duties & responsibilities as may be required to maximize the efficiency, productivity, teamwork, customer relations & enhance the entire operations of the company

Requirements

· At least 2 years experience in the cargo industry

· At least five HAVO/GCE/CXC passes, two of these in Mathematics & English

· Course in Freight Forwarding an asset

Competencies

· Excellent customer service skills

· Capable of communicating in both Dutch and English

· Highly computer literate

· Excellent communication skills

· Course or experience in logistics management an asset

· Knowledge of ocean freight operations & procedures an asset

· Strong Geographic knowledge/able to use GPS/GIS

· Knowledge of freight operations & procedure an asset

· Knowledge of Dangerous Goods
